How to Use Acumatica Approval Delegation
Acumatica’s automatic approval work flow continues to improve with the addition of the Approval Delegation feature in 2023 R1 that is now available. This has been a popular idea on the Acumatica Community board for a number of years and we’re thrilled that it’s finally here!
While Acumatica’s app makes it easy to keep working on the go, it’s always nice to be able to unplug and disconnect when you’re out of the office and not have to worry that business processes will hit a standstill while you’re away.
It’s easy for approvers to set-up and manage their delegations and assign approvals to specific users for a set period of time. It also allows for tracking of which delegations were in place for different time periods.
- Employee can manage their own approval delegations on their User Profile
- Delegations can be managed centrally by Human Resources or System Administrators on the Employees screen
There may be certain, critical process or limits that need to be enforced, so the ability to delegate approvals can be restricted to specific approval maps and specific steps within those maps. By default, the option to delegate approvals is turned off for all approval maps and steps. Please note that if you have an older “Assignment and Approval Map” from prior to 2018 that Delegations will not work for this type of map and you will need to transfer this approval process to an “Approval Map”
The approval delegation process also allows for one-off reassignments so if an employee’s out of the office sick. Individual documents can be reassigned, and users have the option to push it directly to that individual or if they also have a delegation in place if it should go to their delegate.
After following this idea on the Acumatica Community for the past couple of years and participating in some discovery sessions for this feature in fall 2022, I’m excited to see it in action for our customers, helping them streamline their business processes.
